To choose the best multi-channel telephone recorder and storage mechanism you need to estimate:

  1. How many people you need to record
  2. How much storage capacity you will need
  3. How often you will need to access calls

Follow these simple steps to work it out:


Step One

How long do you need to keep your calls?

This will depend on whether you are recording for legal reasons, dispute resolution or for training. You must decide how many weeks, months or years it is necessary for you to keep calls. (For example you may decide that for dispute resolution you must keep calls for 12 months).

Step Two

How much time are you on the telephone?

To calculate this estimate the average length of most of your calls - (ie 5 minutes)

  • Estimate approximately how many calls per person per day - (ie 15 calls could be typical).
  • Then simply multiply average call length by no of calls (ie 5 minutes x 15 calls = 75 minutes per day per person).
  • Lastly if each person spends 75 minutes per day on the telephone and you have 8 people being recording - this is 75 minutes x 8 people = 600 minutes (10 hours) per day.
  • Work time per year - 240 days (after holidays). Therefore 240 days x 10 hours = 2400 hours per year

In the example given above the multi-channel recorders available on the Telephone Recorders Direct website would allow from approx 3-4 years of recording before the hard disk would be full and start to overwrite early recordings.

To archive or not to archive
This affects whether you need to archive calls or not. Multi-channel telephone recorders automatically record over the earliest recordings when their hard disks are full. Most of our multi-channel recorders give average organisations at least 1 years recordings before this happens.

Telephone calls can be 'archived' onto a PC or dedicated server, to avoid the hard disk getting full and overwriting important calls. You will need specialist archiving software, part 932 available for the 952IP and the 954IP. Using Archive Software, calls can also be accessed across the network if you wish. Archiving Software also gives you 50% more search criteria than the search and retrieval software that come with the recorder.
